Many small businesses hire quickly and expect new staff to "just learn". A little structure makes a big difference.

Before day one

  • Send a written offer and confirm the start date and time.
  • Tell the team that someone new is joining.
  • Prepare a workspace, tools, logins and any uniform.
  • Choose a colleague who can guide the new person.

Day one

  • Welcome them warmly and introduce them to the team.
  • Show them around and explain basic rules, such as working hours, breaks and safety.
  • Explain their role, duties and who they report to.
  • Give a simple plan for the first week.

First week

  • Teach key tasks step by step.
  • Let them watch, try and ask questions.
  • Share important policies, such as attendance, confidentiality and customer handling.
  • Check in daily for a few minutes.

First month

  • Set clear goals and expectations.
  • Give regular, kind and honest feedback.
  • Explain how performance and pay are reviewed.
  • Make sure they know where to go for help.

Paperwork

Collect the documents you need through a clear and safe process. Keep personal data private and secure.

Build connection

Invite new staff to team lunches or meetings. People who feel welcome work better and stay longer.

Ask for feedback

After 30 days, ask the new hire what is going well and what could be clearer. Use their ideas to improve your process.

Keep it simple

You do not need a big HR department. A one-page checklist and a caring attitude are enough to start.
